From the Index Window, you can add keywords to multiple articles at once by editing the list of keywords which are common to a number of highlighted articles.
To modify the list of shared keywords for multiple articles:
• | In the Titles column, highlight the articles that you want to assign keywords to. |
Click on a title to highlight it. To highlight several items, see Selecting Multiple List Items. To highlight all titles in the column, click on the column and then select the Select All command from the Edit menu.
• | Select the Change Keywords for Article command from the Keyword menu. |
OR Select the Change Keywords for Highlighted Articles command from right-click pop-up menu from the Titles column or from the Preview Pane when it is showing keywords.
The Shared Keywords for Highlighted Articles dialog box is displayed. Keywords which are shared by all highlighted articles are shown in the Assigned Keywords list box.
• | Type a keyword in the New Keyword edit box and press Enter to assign it to all highlighted articles. |
OR Select a keyword from the Available Keywords list box.
As you add new keywords, they are added to the Assigned Keywords list.
• | Add any number of keywords to the list in the same way. |
• | Select the OK button to finish. |
All keywords from the Assigned Keywords list are added to each of the highlighted articles' keywords lists, replacing only those keywords which were shared by all highlighted articles. Any keywords which were assigned to only one or some of the highlighted articles are not affected.
