Removing Duplicate Articles

NOTE:Articles are considered to be duplicates only when both their titles and article contents are identical.

 

To remove duplicate articles from your data file:

 

Select the Report command from the File menu.

 

Select Check for Duplicate Articles from the cascading menu of reporting options.

 

Personal Knowbase scans your data file for duplicates. If no duplicates are found, a brief message appears, and you are done.

 

If duplicates are found, the Duplicate Articles dialog box is displayed. The Mark Articles to Delete box lists all articles in the current data file which are identical to each other. The title of each duplicated article is listed.

 

To preview the text of an article, click on its title in the Mark Articles to Delete box.

 

The text of the highlighted article is shown in the Content of Highlighted Article area below.

 

Below the title of each article, the date and keywords assigned to each copy of this article are listed. Although the title and content of all copies of the article are identical, the dates and keywords may differ.

 

To delete an article, click on the checkbox in front of the date and keywords listing of the copy of the article that you want to delete.

 

Note that you probably do not want to delete all copies of a given duplicated article.

 

If you change your mind, click on the checkbox again to remove the check mark.

 

When you have marked all articles that you want to delete, select the OK button.

 

You are asked to verify that you want to delete the marked articles. Select Yes to continue.

 

The marked articles are deleted permanently from the data file.
