There are several ways to find information stored in your Personal Knowbase data file. The simplest way to retrieve information is by an article's title:
• | Make sure that the data file is currently open. |
If no file is open, refer to the procedure for Opening an Existing Data File.
• | Make sure that all article titles are displayed in the Index Window by selecting the Show All Titles button on the Toolbar. |
OR Select the Show All Titles command from the Article menu.
The titles of all articles in the data file are displayed in the Titles column of the Index Window.
• | Scan through the list of titles until you find the title of the article you want. |
Sorting the titles using the Sort by command from the View menu may be helpful.
• | Double-click on the article's title. |
An Article Window opens, showing the contents of this article. You can now view the data in the article.
• | To close the article, click on the window's close box. |
Other ways to retrieve information
As your data file grows larger, scrolling through all titles to find an article becomes unwieldy. At that point, you want to retrieve more targeted information in other ways:
• | By specifying keywords relevant to the information you seek. See the procedure for Retrieving Related Articles. |
• | By bookmarking articles for easy access. See the procedure for Retrieving Bookmarked Articles. |
• | By finding articles containing a specific text string. See the procedure for Searching for Text. |
• | By specifying a logical combination of keywords. See About Queries and Logical Operations. |
• | By finding articles in a date range. See the procedure for Locating Articles by Date. |
